List Owner Information
Important Information for List Owners
The UC LMRI Email Lists have historically been hosted and provided as a free service by UC LMRI in order to provide the means for individuals to communicate and share information. These services have been supported, in part, through the Chicano/Latino Electronic Networking (CLEN) Project with support from the UC Committee on Latino Research (UCCLR).
As of June 30, 2008 UC LMRI will no longer be hosting the electronic mailing lists.
The file will be eliminated from our system and will no longer be accessible. We are giving you advance notice of this change so that you can transition your list to another hosting service. Recommended email hosting services include Google Groups and Yahoo Groups. Both of these services are free and offer a number of user benefits.
Following are step-by-step instructions for transferring your email lists and retaining the archived list messages:
If you choose to use Google Groups, set up an account. If you need additional assistance with this step, please visit the

If you choose to use Yahoo, set up an account. If you need additional assistance with this step, please visit the
Yahoo Groups Help Center.
Once you've set up an account, you can notify your current members of the change using your LMRI-hosted email list (make sure to include the name and email address of your new group). If you prefer to move your subscribers manually, you can access your current subscriber list by visiting your email list’s webpage.
Copy the list of members to your new email list by following these instructions (for Google Groups) or these instructions (for Yahoo).
To preserve your list archives:
Access your current list’s archive.
Right-click on each (gzipped) file listed in the right-hand column, select "Save as" and save each one to your hard drive. Upload these files to your new Google or Yahoo Group.

List Owners and Moderators are integral to an email list's success. As your list's Owner and/or
Moderator, you have certain responsibilities to your group. You also have responsibilities to the list host
providing this free service, of which you may or may not have been aware.
UC LMRI has recently restructured the internal administration of the email list groups. There is now
a staff member at UC LMRI serving as List Administrator, overseeing list management and list compliance issues
that periodically arise.
Beginning in fall 2006, the owner for each LMRI-hosted list will be asked to complete a
brief checklist once a year confirming
the responsibilities listed below.

checklist and return it via email attachment to:

- The University of California has published an
Electronic Communications Policy which all list owners are encouraged to read.
There is also a Highlights
Brochure (PDF) available. All email lists hosted by UC LMRI should be managed
according to these policy guidelines, and all list members are required to abide by these policies.
- It is important that UC LMRI maintains a current and accurate list of contact
information for each list owner(s).
Please be sure the UC LMRI Email Lists Administrator has current, correct
list owner name(s) and email(s) for your group. We will thereafter periodically re-confirm
this information with you.
- Each UC LMRI Email List is required to have an owner.
Each group should also have a co-owner/co-moderator. This ensures that when the owner is
unavailable due to illness, vacation, etc. there will always be an individual available to
manage the lists.
- Lists hosted by UC LMRI are required to have a public description of their group
(i.e., define the group's name, and provide a clear and understandable group purpose; is the group a
discussion list or an announcement list, etc.).
This information should be clear and understandable to the general public (define acronyms, for instance).
This information can be easily updated from the List Administration page (see information at top of this page).
Please check your list's information page, and if your group does not currently have a clear description,
please create one.
- Groups can be either PUBLIC or PRIVATE. Public group memberships should generally be open to the public.
Private list memberships are generally by invitation only. The UC LMRI
email list web page provides a directory of
all lists in both categories. If your list appears in the wrong category, please go to your List Administration page
and make the correction. (If you have questions about how to navigate within the List Administration page, please contact the
System Administrator.)
- To improve quality of service, UC LMRI is now periodically checking for inactive groups to
determine if they should be deleted from the system. An active group is defined as one with at least five
members and at least one (non-SPAM) message posted within a 60-day period.
Owners and moderators of inactive groups will receive email indicating
that the list is to be deleted unless a request for an extension is received.
Lists which are scheduled for deletion are indicated on the LMRI
email list web page. If your group is scheduled to be deleted and you wish to request an extension,
send an email to LMRI's Email Lists Administrator
