    1. What do I do if the deadlines of February 1st or October 1st fall on a weekend?

    If either deadline of February 1st or October 1st falls on a Saturday, Sunday or holiday, all grant materials are due by the end of the business day (i.e., Friday) before. For example, if October 1st falls on a Sunday, all materials must be submitted by Friday, September 29th at 5pm.

    Late submissions may be considered on a case-by-case basis at the discretion of the Director.

    2. Can I submit the Application Form and proposal documents by fax?

    The original completed and signed Application Form must be received by LMRI on or before the deadline. A faxed copy may be submitted for information purposes and for your protection in the event of delivery circumstances that are beyond your control.

    Be aware that should you (or your Contracts and Grants office) choose to mail the Application Form via United States Postal Service regular mail delivery, it may take more than a week to arrive in our offices. We highly recommend the use of overnight delivery for this important document for prompt and timely delivery, as well as for tracking purposes in the event it does not arrive by our deadline.

    NOTE: Although the Grant Application Form is often sent by/from the campus Contracts and Grants office, it is still the responsibility of the applicant, as PI, to ensure that the Form is received at the UC LMRI office by the deadline.

    The Grant Proposal documents (Word or Excel files) must be submitted electronically via email to grants@lmri.ucsb.edu. Dissertation Grant applicants must also submit the Dissertation Grant Checklist to be completed by the Dissertation Chair.

    3. Is there a certain format for the proposal documents?

    Yes. A Sample Grant Proposal is available as a visual guide and reference. Complete guidelines can also be found on the Grant Call information page.

    4. After I submit my proposal documents, how will I know that they have been received?

    You will be sent a verification of received materials via return email. UC LMRI staff will make every possible effort to notify you of missing or incomplete documents, however, it is ultimately your own responsibility to verify that all of your grant proposal materials have been received (and are complete) before the deadline.

    5. How long after the deadline will I be notified if I have been awarded a grant?

    In most cases, the Steering Committee meets and evaluates the proposals two to three weeks after the deadline. Official notifications normally go out no later than one month after the Grant Call deadline. This is subject to change, however, depending upon the Steering Committee’s availability to meet and other factors.

    6. If I am awarded a grant, how do I get paid?

    If you are awarded a UC LMRI grant, payments are made in 3 installments:

    1st payment: upon acceptance of your award;
    2nd payment: upon submission and approval of a progress report to the Director;
    3rd payment: upon submission and approval of a final research report that includes a budget report with itemized expenses and extramural funding.

    7. Can I pay myself a salary from the grant funds?

    Yes. UC LMRI grant funds may be used to support salaries (including your own) of:

    • faculty researchers
    • graduate students
    • undergraduate students
    • post-graduate researchers

    UC LMRI grant funds may also be used for:

    • graduate student researcher tuition (including your own)
    • fees
    • stipends for subjects
    • supplies and expenses
    • domestic travel
    • equipment

    8. Can I use grant funds for foreign travel?

    Yes, as long as expenses are in accordance with university travel policy.

    9. Can I be on more than one UC LMRI Grant at the same time?

    Yes, however you may only be a Principal Investigator (PI) or Co-Investigator on no more than two outstanding grants at one time.

    11. How do I contact my campus Contracts & Grants Officer for the required signature on the Grant Application Form?

    Each UC Campus has a Contracts & Grants (or Sponsored Projects on some campuses) office which should be able to assist you.

    12. How long will it take for my Contracts & Grants Office to prepare, approve and sign my Grant Application Form?

    Each Contracts & Grants office has its own grant processing procedures and timelines. Some offices require a three day lead time, some more than that. Be prepared to submit your complete Grant Proposal and Application Form with time enough for these documents to be properly reviewed and processed in time to meet the UC LMRI deadline.
